Accommodation

East African University Rwanda (EAUR) provides guidance and practical assistance to incoming Erasmus+ students and staff in identifying suitable accommodation in Kigali.

Participants are encouraged to contact EAUR before arrival so that accommodation needs can be discussed and appropriate options identified.

EAUR can provide information about:

Accommodation options in Kigali.
Areas located near the university.
Available student and staff accommodation.
Practical considerations when choosing accommodation.
Guidance concerning rental arrangements and deposits.
Accommodation options for participants with specific needs.

Accommodation arrangements should be made as early as possible, particularly for participants arriving during busy academic periods.

Participants requiring accommodation assistance should contact EAUR with their expected arrival date, mobility period, preferred location and any specific requirements.

Language Support

The principal language of instruction and academic communication at East African University Rwanda is English.

Incoming Erasmus+ participants are encouraged to ensure that they have an appropriate level of English before beginning their mobility.

Recommended Language Level

Student Mobility: B1 English recommended.

Staff Teaching Mobility: B2 English recommended.

EAUR can provide guidance to incoming participants concerning:

English-language preparation.
Academic communication.
Communication with lecturers and university staff.
Language-related questions during the mobility period.
Orientation to the academic environment.

Participants who require additional language support should inform EAUR during the nomination or preparation stage so that appropriate guidance can be provided.

Visa

International students and staff travelling to Rwanda for Erasmus+ mobility should check the entry and visa requirements applicable to their nationality and mobility circumstances before travelling.

EAUR provides guidance and supporting information to incoming Erasmus+ participants concerning Rwanda’s visa and immigration procedures.

Support may include information about:

Rwanda entry requirements.
Visa application procedures.
Required supporting documents.
University-related documentation required for the mobility.
Arrival procedures in Rwanda.
Immigration-related questions during the mobility period.

Participants are strongly encouraged to begin checking visa requirements well in advance of their planned travel date.

Where university documentation is required to support the mobility or visa process, participants should contact EAUR as early as possible.

4. Insurance

Erasmus+ participants are responsible for ensuring that they have appropriate insurance coverage for their mobility period.

EAUR provides incoming students and staff with guidance concerning insurance arrangements and the types of coverage that may be relevant to their mobility.

Participants should consider the insurance requirements applicable to their individual mobility and confirm their coverage before travelling to Rwanda.

Depending on the mobility circumstances, participants may need to consider:

Health insurance.
Travel insurance.
Accident insurance.
Liability insurance.
Other coverage required by the sending institution or Erasmus+ mobility agreement.

Participants should also check whether their existing insurance provides coverage in Rwanda and for the full duration of their mobility.

EAUR can provide practical guidance and direct participants to the appropriate institutional contact where further clarification is required.

5. Inclusion of Participants with Fewer Opportunities

East African University Rwanda is committed to promoting inclusive, accessible and equal opportunities in Erasmus+ mobility.

Participants with fewer opportunities are encouraged to inform EAUR of any circumstances or support requirements that may affect their participation in mobility activities.

EAUR can discuss individual support needs relating to:

Accessibility and mobility requirements.
Special accommodation needs.
Additional academic support.
Practical assistance during arrival and orientation.
Other individual circumstances affecting participation.

Support arrangements will be considered on an individual basis, taking into account the participant’s needs and the available institutional arrangements.

Participants are encouraged to communicate their requirements as early as possible, preferably during the nomination and preparation stage, so that EAUR can assess the appropriate support before arrival.

All participants should have equal access to relevant academic and mobility opportunities.

Participants who require additional support may contact EAUR directly and confidentially.

6. Mentoring

EAUR provides guidance and mentoring support to incoming Erasmus+ students and staff to help them adapt to the university environment and make the most of their mobility experience.

Mentoring and orientation support may include:

Introduction to the university and relevant departments.
Academic orientation.
Guidance concerning university procedures.
Assistance in understanding the academic environment.
Connection with relevant academic staff.
Practical guidance during the first stage of mobility.
Support with integration into the EAUR community.
Guidance concerning campus life and activities.

Incoming participants are encouraged to contact the Erasmus+ support team if they require assistance during their mobility period.

EAUR aims to create a welcoming environment in which international students and staff can participate actively in academic and university life.

7. Grant Payments

Erasmus+ financial support is provided according to the rules of the relevant Erasmus+ project and the arrangements established between the participating institutions.

For incoming Erasmus+ participants, EAUR can provide guidance and coordination concerning the practical aspects of grant arrangements during the mobility period.

Participants should obtain information about their Erasmus+ grant entitlement and payment arrangements from their sending institution before travelling to Rwanda.

EAUR may assist with:

Confirming mobility-related information with the sending institution.
Providing institutional documentation required for the mobility.
Coordinating information concerning arrival and mobility dates.
Supporting communication between the participant and the relevant institutional contacts.
Providing guidance concerning practical arrangements after arrival.

The exact grant amount, eligibility, payment schedule and applicable financial rules depend on the participant’s Erasmus+ project and sending institution.

Participants should therefore ensure that their financial arrangements are confirmed before departure.

8. Alumni Information and Alumni Engagement

East African University Rwanda (EAUR) maintains a growing community of graduates and former students who can contribute to the university’s internationalisation activities and support incoming Erasmus+ students and staff.

The EAUR Alumni Network provides an opportunity for former students to remain connected with the university, fellow graduates, academic staff, international partners and current students.
